Drive O&M: How to log in with Multi Factor Authentication

Multi Factor Authentication (MFA) is one of the simplest, most effective ways to prevent unauthorized access to applications and safeguard user data.

Drive O&M (FSM) customers are required to implement MFA to mitigate risks stemming from threats like phishing attacks, credential stuffing, and compromised devices.

Multi Factor Authentication (MFA) will be required to access ALL Salesforce orgs including Drive O&M (FSM) from January 31, 2022. This guide will help you:

  • Use MFA to access Drive O&M (FSM) if it is already enabled

  • Download and set up an Authenticator if MFA is not yet implemented on your org.

How does Multi Factor Authentication (MFA) work?

Tying access to different types of authentication factors creates an additional layer of security for users accessing the Drive O&M environment.

For example if a user password is compromised, it is unlikely that unauthorized persons will be able to get through the authentication procedure and access the account.

Desktop

On desktop, Drive O&M Users already have access to the following MFA-enabled login options:

  • Office 365

    • If a customer’s organization has Multi Factor Authentication set up on Office 365, they can login securely by clicking the Office365 button:

  • Drive Single Sign On

    • If a customer has been set up to access Drive O&M via Single Sign On, they can login securely by clicking the Drive button:

However, if desktop users prefer to login with a Username and Password, they should download and configure one of the following applications on their mobile device:

  • Salesforce Authenticator

  • Third Party Authenticator (Google Authenticator)

Mobile

Mobile Users who have Multi Factor Authentication set up on their company’s Office 365 can login to their Drive O&M (FSM) org by clicking the Office365 button:

If this option is not available, Mobile Users should install and configure one of the following:

  • Salesforce Authenticator

  • Third Party Authenticator

Instructions

Users should have their mobile phone AND laptop/desktop at the ready. You will be switching back and forth between these devices during the setup process.

Setting up the Salesforce Authenticator App

  1. Download and install the Salesforce Authenticator app on your mobile device:

  2. Log into your Drive O&M (FSM) org using a desktop browser:

    1. Enter your Username and Password and click the Login button – do not use Drive SSO or Office 365

      • If you have never logged in using your Drive O&M credentials, a password reset may be necessary

      • Please request a password reset from the Helpdesk or ask an Admin/Power User in your organization for assistance.

  3. Once you have logged in, register the app to connect it to your account:

    1. Click on your avatar

    2. On the View Profile panel, click Settings

    3. Click on Advanced User Details

    4. Scroll through until App Registration: Salesforce Authenticator is visible – click Connect

  4. Verify your identity by entering the verification code sent to your email, then click Verify

  5. Connect Salesforce Authenticator by following these steps:

    1. Open Salesforce Authenticator on your mobile device

    2. Click Add an Account

    3. Salesforce Authenticator will display a Two-Word Phrase:

    4. On your desktop, enter the phrase displayed in the field provided, then click Connect

  6. A message will advise you to Check Your Mobile Device

  7. On your mobile device, you will also be asked to Connect Account IF you have Salesforce mobile installed – click Connect

  8. You should now see a notification that your Account has been added – click Got It to confirm

  9. You may also be presented with additional options, such as:

    1. Allow Location Services with the following message:

      Salesforce Authenticator uses your location to automatically approve you. When Prompted, select While using the app. Later, you’ll be prompted again for background access.

      • Click Continue

    2. You should see another screen where you can choose one of the following options:

      • While using the app

      • Only this time

      • Deny

    3. The Background Location Services option may also be presented and you may either:

      • Enable Location, or

      • Skip

  10. Once you have completed the setup, you should receive an email with the subject line: A new verification method was added to your Salesforce account:

Setting up a third party Authentication app (Google Authenticator)

  1. Download and install a third party Authentication app such as Google Authenticator on your mobile device:

  2. Log into your Drive O&M (FSM) org using a desktop browser:

    1. Enter your Username and Password and click the Login button – do not use Drive SSO or Office 365

      • If you have never logged in using your Drive O&M credentials, a password reset may be necessary

      • Please request a password reset from the Helpdesk or ask an Admin/Power User in your organization for assistance.

  3. Register the app to connect it to your account:

    1. Click on your avatar

    2. On the View Profile panel, click Settings

    3. Click on Advanced User Details

    4. Scroll through until App Registration: One-Time Password Authenticator is visible – click Connect

  4. A message will appear advising you to Check Your Mobile Device

  5. On your mobile device, you will also be shown the following message:

    Authenticator: Approve Connect a One-Time Password Generator

    • Click Approve

  6. On your desktop browser, you will see a notice to Connect an Authenticator App:

    1. Use Google Authenticator to scan the QR code

    2. Enter the code generated on the Authenticator in the Verification Code field

    3. Click Connect

  7. You’ll again be asked to check your mobile device to confirm your connection – click Approve

  8. A large green check icon will appear on your desktop browser right before you’ll be logged in to Drive O&M (FSM)

Logging into Drive O&M (FSM) Mobile after Authenticator setup

  1. After setting up an Authenticator, log into Drive O&M (FSM) on your mobile device

  2. Click on the Use Custom Domain link

  3. On the Use Custom Domain screen, make sure to enter the full domain on the field provided

  4. Click Continue

  5. Enter your Username and Password on the succeeding screen and click Log In

  6. You should receive a push notification to Approve or Deny a login request – click Approve.

  • It will not be necessary to authenticate logins on a desktop until after January 31, 2021, when users will be required to authenticate ALL logins to Drive O&M (FSM) from either desktop or mobile phone.

  • Please have your phone with you at all times to respond to authentication requests.

  • Any login attempts that have not been confirmed within a few minutes will be canceled.
